Sound familiar?

Where hourly and person‑day teams get stuck

Generic to-do apps manage internal work. The part where you bill the client still lives in spreadsheets and group chats.

“How many hours are left?”

Answering means adding up timesheet rows one by one.

Month-end disputes

The client thinks they used fewer hours, and you have no line-by-line record of what was done.

Sign-offs that drag on

A thumbs-up in a chat counts as approval—until there's a dispute and no record.

Missed invoices and top-ups

The hour block runs out or a milestone ships before anyone remembers to invoice.

Requests lost in chat

Client requests, changes and approvals live in chat history. Handovers mean endless scrolling.

No company-wide view

Who spent the most hours on which client last month, which sign-offs and payments are pending—you have to ask.

How it works

Hours flow from tasks to sign-off to invoice

One record carries through, so nothing is retyped between timesheets, acceptance reports and invoices.

  1. Client asksClients submit requests in the portal and they become tasks
  2. Log the workInternal time and client-visible hours, kept apart
  3. Draw downPrepaid hours or contract person-days are deducted, with a low-balance alert
  4. Monthly sign-offThe report pulls in the period’s work and hours; clients sign online
  5. Get paidApproved phases and hour-block thresholds show up as ready to invoice

Flexible by design

Hours, person-days or fixed price, per project

One client might have a maintenance retainer plus a fixed-price feature. Each project picks its own pricing model and sign-off method, all in one system.

Retainer hours

Prepaid hours, drawn down as you go

  • Initial and top-up blocks used in order
  • Only published, client-visible hours count
  • Weekend and after-hours rate multipliers

Person-days

Quote and sign off in person-days

  • Log person-days against the contract
  • Acceptance reports per period
  • 1 person-day = 8 hours, converted automatically

Fixed price

Sign off by deliverable or phase

  • Approve quoted items one by one
  • Phase sign-offs with progress tracking
  • Deposit, progress and final payments
  • Change requests as separate contracts

Pre-launch

A checklist before go-live

  • Tick off every item before launch
  • Use Word or Excel files as templates
  • Client approval triggers a billing reminder

Features

What’s used, what’s signed off, what stays internal

Everything you bill the client for is on record, and the team’s daily work lives in the same place.

Sign-off & usage

Hours used and sign‑offs, all on record

Only published, client-visible hours count, drawn from the initial block and top-ups in purchase order. At month end, the acceptance report pulls in that period’s work and hours.

  • Low-balance alerts for hours and person-days; top-ups tracked separately
  • Five sign-off methods with PDF download and online client sign-off
  • Multiple contracts and installments that can't exceed the total
Monthly acceptance report: four items totaling 19.5 hours, each with hours and approve or reject boxes (app shown in Traditional Chinese)

Dashboard

Everything due today, across every project

Overdue work comes first and urgent tasks are flagged—no need to open each project to find them.

  • List, board, calendar and Gantt views
  • Sub-tasks, labels and attachment previews
  • In-app notifications for assignments, mentions and due dates
Dashboard with overdue, urgent and in-progress counts above a cross-project task list (app shown in Traditional Chinese)

Projects

Client-facing and internal, clearly separated

Mark every task as visible to the client or internal only. Client reports never include your internal notes.

  • Overdue tasks and pending sign-offs pinned to the top
  • Filter by owner, status and type
  • Delegates for time off, clean handovers when people leave
Project page with tabs, a summary bar and the task table (app shown in Traditional Chinese)

Client portal

Give clients their own window into the project

Invite clients to a separate portal. They only ever see what you've marked as visible to them.

Progress and timeline

Clients check where things stand on their own, instead of asking you.

Monthly reports

The work delivered each month and the hours used, ready whenever they look.

Replies you can track

Ask a client to confirm something. They reply with text, files or links, and you're notified.

Requests become tasks

Clients submit issues and requests that land as tasks assigned to the project owner.

Online sign-off with e-signature

Clients review the acceptance report, approve or reject, and sign. Both sides get the result by email.

Nothing internal leaks

Internal notes, hours and other clients' projects stay out of the portal.

Industry templates

Pick your industry and the setup is done for you

When you create a workspace, choose an industry to get typical project categories and task types, each category with a default pricing model. They’re only defaults: every project can still switch to hours, person-days or fixed price.

E-commerce & web maintenance

Fixed price for builds, hours for maintenance

  • Categories: Shopify, Magento, WordPress, web maintenance
  • Extensions and integrations log
  • Task types: new request, improvement, bug, incident fix

IT managed services

Hours for service contracts, person-days for deployments

  • Categories: managed services, system deployment, hardware & licenses
  • Hardware & licenses default to fixed price
  • Task types: request, change, incident, routine maintenance

System integration & software

Person-days for development, hours for warranty

  • Categories: development, system integration, maintenance & warranty
  • Person-day acceptance reports per period
  • Task types: request, change, issue, maintenance

Other industries start with “General” and set up their own categories. Template names appear in Traditional Chinese in the app.

FAQ

Questions, answered

Is the app available in English?

Not yet. This website is in English, but the SoonCase app, its emails and the client portal are currently in Traditional Chinese.

Do I need a credit card to try it?

No. Sign up and use every feature free for 14 days. If you don't upgrade when the trial ends, your workspace becomes read-only and your data is kept.

We’re not an e-commerce agency. Will it fit?

Yes. Any service team that bills clients by the hour, the person-day or a fixed price can use it—IT managed services, system integrators, software houses. Pick an industry template when you create the workspace, or start with “General”. Each project picks fixed-price, person-day or hourly billing, and one of five sign-off methods: by deliverable, by phase, pre-launch, person-day or hourly.

Can clients see our internal hours?

No. The client portal and client reports only show hours you’ve marked as client-visible and published. Internal time and internal notes stay with your team.

How is this different from Trello or Asana?

Those tools manage a team's internal work. SoonCase adds what you need to bill clients: prepaid hours and person-days drawn down automatically, monthly acceptance reports, billing reminders and a clear line between client-facing and internal information.

Do my clients need an account?

Only if you want them to use the client portal. When you open the portal for a project, clients get an invitation email and see only what you've marked as visible to them. You can also keep sending them reports instead.

How do I pay?

Prices are in New Taiwan dollars. Online payment is in development. Until then, upgrading to Business takes effect immediately from your workspace settings, and we'll arrange other plan changes with you.
